The Stearns County Recorder's main office is at the Administration Center, Room 140, 705 Courthouse Square, St. Cloud, MN 56303. Office hours are Monday through Friday, 8:00 AM to 4:30 PM. Stearns County also operates two satellite service centers. The Waite Park location is at 3301 County Road 138. The Melrose service center is at 114 1st Street SE, Melrose, MN 56352. These locations provide recording services closer to residents in the western and northern parts of the county, reducing travel time for those outside the St. Cloud area.

Online Deed Search Tools
Stearns County offers two online search options for deed records. LandShark is the primary subscription-based system, available at erecording.co.stearns.mn.us/LandShark/login. It provides searchable access to recorded documents by name, document number, document type, date range, and legal description. LandShark requires a subscription and is used primarily by title companies, attorneys, and lenders.
ArcaSearch provides free access to historical indexes, deeds, and miscellaneous records from 1855 to May 1999. This is a valuable resource for researchers tracing ownership chains on older properties or doing genealogical work. The ArcaSearch system does not require a subscription and can be accessed without setting up an account.
For records after 1999, LandShark is the primary remote access option. For the most current filings, in-person research at the recorder's office or one of the service centers provides the most direct access.

Recording Fees and Deed Tax
The standard recording fee in Stearns County is $46.00 per document. This is set at the state level and applies uniformly across Minnesota. Plats cost $56.00 to record. Well Disclosure Certificates are $54.00, required whenever a property with a well changes hands. Certified copies cost $10.00 per document. Photocopies are $0.25 per page for standard copies.
Deed tax in Stearns County is 0.33% of net consideration under Minnesota Statute 287.21. The tax must be paid before the deed is filed. On a $225,000 home sale, the deed tax is $742.50. The tax is calculated on the sale price minus any assumed mortgage.
The county auditor must certify that real estate taxes are current before the recorder can accept any deed for filing, under Minnesota Statute 272.12. This tax certification step protects buyers from inheriting unpaid tax obligations. It is required for every deed transfer, regardless of the type or amount of consideration.
Document Standards
All documents recorded in Stearns County must comply with Minnesota Statute 507.093. This law sets minimum standards for paper size, margin widths, font size, and the placement of the preparer's name and return address. Documents that fail to meet these standards may be returned or recorded with a non-standard fee.
For homestead properties, both spouses must sign the deed under Minnesota Statute 507.02. This rule applies even when only one spouse holds legal title. Missing a required spousal signature creates a title defect that can cause problems during future sales or financing of the property.
Under Minnesota Statute 507.34, an unrecorded deed is void against a later purchaser who pays value and records first without notice of the earlier deed. Prompt recording after closing protects the buyer's ownership and prevents competing claims from later purchasers.
Types of Deed Records in Stearns County
Warranty deeds are the standard for most property sales in Stearns County. They include a seller's guarantee of clear title. Quitclaim deeds transfer whatever the grantor holds without any guarantee and are common in family transfers, divorce settlements, and estate conveyances. Both types are defined under Minnesota Statute 507.07.
Transfer on Death Deeds let owners name a beneficiary who receives the property at death without probate. These must be recorded before the owner dies to be valid, under Minnesota Statute 507.071. Contracts for deed are also recorded in Stearns County, particularly for rural land and agricultural parcels. Under Minnesota Statute 507.235, contracts for deed must be filed within four months of signing.
Stearns County uses both the abstract and Torrens land systems. Torrens land is registered under Minnesota Statute Chapter 508 and carries a state-guaranteed Certificate of Title. Transfers of Torrens property result in a new Certificate of Title rather than just a recorded deed. The recorder handles both systems and can advise on which applies to a specific parcel.
